Policy Change Log

Updated V.2 to add: "In addition, Rowan employees should be aware of the requirements of the Open Public Records Act (OPRA) and be aware that AI generated transcripts of meetings may create records subject to OPRA unless those records are eligible for a specific exemption under OPRA." Updated V.6 to add: "AI transcriptions of confidential Human Resources meetings, including candidate interviews, should not be used except in circumstances where prior Human Resources permission has been obtained and appropriate safeguards are implemented on transcriptions created."

Updated V.5 to revise guidance on on-campus network or VPN connections from four hours monthly to two hours every week. 

Updated VI to add: "Any exceptions to this policy must be approved by the Information Security Office."

Posted the Information Technology Equipment Allocation Policy, a new policy that establishes guidelines for the procurement, assignment, and management of computer workstations, peripherals, and IT equipment. This policy replaces the Employee Workstation Assignment Policy and Technology Ownership Policy.  

Updated V.7, V.8 and V.9 to make language more firm around policy expectations, added V.7.g, V.9.g and V.9.h, and added the following line to VII: "Any exceptions to this policy must be approved by the Information Security Office."

Updated V.6 from "Internal and closed meetings may not be recorded by any AI platforms that are not authorized, secured and managed by IRT." to "Internal and closed meetings may only be recorded by AI platforms that are authorized, secured and managed by IRT."

Posted the newly-adopted Artificial Intelligence Policy, which was created to establish requirements for the secure use of AI and Large Language Models in the Rowan University environment and for processing Rowan data of all classification levels. 

Retired the Business Continuity Management Policy, as it's no longer applicable in its entirety.

Posted the newly-adopted Technology-Enabled Space Ownership & Support Policy, which was created to define roles and responsibilities for technology-enabled spaces at Rowan University. This policy has replaced the Computer Lab Policy, the Computer Lab Software Policy and the Conference Room and Non-Classroom Space Technology Policy.

Updated policy to reflect Rowan University has extended its trade-in cycle for Rowan-managed computers from four years to five years.

Updated policy to reflect that Rowan University no longer offers a campus-wide channel for digital signage and made other minor changes throughout.

Updated V.5.a.ii to state appropriate incidents must be reported to New Jersey Cybersecurity and Communications Integration Cell per state law, updated V.5.a.v to state outstanding risks will be added to the Information Security Office Risk Registry and tracked through closure, and updated V.6.a.ii to state Information Security Officer will act as Incident Commander.

Posted the newly-adopted Information System Configuration Management Policy, which was created to ensure that Information Technology (IT) resources are inventoried and configured in compliance with IT policies, standards, and procedures.

Posted the newly-adopted Information System Maintenance Policy, which was created to ensure that maintenance procedures are developed and implemented for all information systems.

Updated V.13.b.vii to state that employees must use a Rowan-approved platform when conducting official university business through chat or instant messaging. Get more information on this policy change.
